Government Gateway Account

How soon before nursery fees are due do you need to put the funds in your Government Gateway account for the tax free childcare? It just says enough time for them to add the funds from their side and for them to clear - but how long is that? We only got a day's notice from nursery before fees were due last month so didn't have enough time to do it. Want to make sure we don't miss it again this month but need to try and time it with pay day too 🥴

I have found usually they pay in within 24hrs but best to go with 3 working days where possible as a minimum just incase of any technical issues on either end.

It seems to take a day for funds to reach the gov gateway account, not sure how long it takes to go from there to the nursery. But surely nurseries should realise a lot of people have to do this complicated thing and it takes a while? It took me an extra day this month as the calculator I use to work out how much to transfer was out by like £16 so I needed another extra day to send that across before I could pay the full amount. It is all a bit of a faff really.

It's usually cleared and topped up the same day for me, but I always give it a couple of days just in case.

@Hattie thank you!

@Carole you would think. They said they'd forgot to send the invoice through on time. But then when I asked when I can expect it going forward they just end of the month, so I'm like last day of the month, last working day, week? Bit vague. I was also wondering how to work out how much to transfer! He's had a couple of extra days in this month compared to last so the invoice will be more. It is such a faff!

@Clare thank you!

Not sure if you're in a position to do so but we added a bit extra in when we could to try and give a bit of a buffer. We do pay weekly though so perhaps a little easier than for bigger monthly bills. Generally speaking, all of ours is processed within 24 hours but the nursery receives it into their bank with a week delay through the auto payment system.

Yeah i usually give it a few working days just to be sure. Never really go back and check to see when the funds clear x

@Faye that’s a good idea. I’m struggling to even make it work with the date of pay day and when the fees are due!

@Hannah thank you!

See if you can pay weekly as its then easier to make any amendments if you need to increase or decrease the amount. Our nursery are quite flexible with the payments and it doesn't really matter if we're out slightly (if I've made a mistake when calculating) i just correct it each month or so if needed. The other option (obviously depends on the costs etc) is to just pay one regular amount each week and then see whether that evens itself out over the month? So some weeks the nursery will receive excess money, but that will cover the extra needed the following week when you increase the hours. if that makes sense

@Rebecca are you paying the same amount each month? It could be worth talking to the nursery about switching to weekly or 4 weekly set payments if little one is in the same amount of days each week. Means you know exactly what cost to expect so you can just direct transfer it in and not have to worry about it quite so much. It's hard trying to get ahead of it though when things are tight.

@Hannah ah interesting yeah, I’ll ask the question! Thank you

@Faye no it varies as we do have to put him in extra some days. It is! I think we’ll have to use savings as an advance then should hopefully be in time for the next month from the previous months pay day
